Purchasing Manager - Full Time

Job summary:

This position is critical to the success of our profitability by managing all outside purchases, material costs, vendor relationships and inventory levels

Essential Job Functions:

  1. Manage all vendor relationships, including annual reviews
  2. Manage many different categories of inventories: paper, office supplies, toner, plates, pre-press, pressroom & bindery supplies
  3. Create and purchase necessary items (paper, outside services – managing project timelines and status updates) on a daily basis
  4. Process print tickets and provide daily support with job quoting
  5. Provide key metrics regarding purchasing and inventory on a monthly basis
  6. On a quarterly basis, assist in a physical inventory on all paper in stock
  7. Work closely with the shop to efficiently set up jobs and troubleshoot issues

Minimum Requirements:

  • Requires a high school diploma
  • Must be fluent in English
  • Microsoft Excel and Word proficient
  • Print, paper and finishing knowledge required

Abilities Required:

  1. Frequently work at fast pace with unscheduled interruptions.
  2. Responsibilities occasionally may require an adjusted work schedule in order to meet deadlines.
  3. Knowledge and experience to efficiently train, learn and execute daily tasks using accounting software, EPMS print software, Microsoft Excel and Word.
  4. Must be able to problem solve and execute the nearly impossible through managing rush jobs, with paper availability, vendors (old and source new) and tight timelines.
  5. Must be a team player.

Advertising Administrative Assistant – Part Time (up to 30 hrs/week)

Job summary:
Advertising Assistant to Publications Sales Staff– Detail Maintenance is the primary function of the ad sales assistant—working closely with the sales team before, during and after the sale.

Essential Job Functions:
1. Process and maintain contracts and advertising material.
2. Assemble and maintain ad books and digital advertising, liaison w/art department.
3. Publication advertisement extensive proofing
4. Data entry and maintenance of complex Datafest/computer Ad Systems program
5. Create and process all advertising related reports (sales, production, ratio, postal and mail lists)
6. Promotional Materials management and mailing of several advertiser copies
7. Process and maintain Aging reports/Invoices and all collection agency data
8. Manage and maintain ICS print and website classified advertising and Machinist pub. classifieds.
9. Maintenance of past magazine issues/contracts, worksheets-binding/boxing/storing

Minimum Requirements:
Example: Requires a high school diploma or its equivalent with 2-5 years of experience in the field or in a related area.
Abilities Required:
1. Frequent computer use at workstation
2. Frequently work at fast pace with many unscheduled interruptions
3. Attention to details/multi-tasker
4. Knowledge and experience using Ad systems software, Outlook, Microsoft Excel and Word
5. Process and input of a vast array of reports, contracts and dunning/accounting procedures
6. Proofing skills—the ability to see information and make corrections on a constant basis
7. Fluent office equipment operations; typing and computer skills, printer maintenance
8. Telephone/customer service skills
9. Consistency and flexibility—understanding in any circumstance which is required
10. Responsibilities occasionally may require an adjusted work schedule, overtime and evening hours in order to meet deadlines
